Your Client Profile page is the backbone to your RealOffice360™ CRM. This is where you will find all of the valuable information that you spend years curating and storing, which ultimately becomes the foundation of your sustainable real estate career! Sound important? It sure is and that is why we have strived to make it perfect just for you.

Add A Contact & Profile Overview

When you run a real estate business, your contacts are your core asset! This is why with the RealOffice360® Contact Profile we give you full control over all contact information, in an extremely easy to use pop-up. Accessible anywhere within the platform.

General Orientation

Done watching the above video? Excellent. Let’s dig into a general overview of the Profile which is made up of three core sections:

1) The Left - This is all basic details.

2) The Top - You will find all important dates and any current transactions you are doing with your contact.

3) The Rest - This section is the meat of your profile where you can fill in all the details.

Contact Profile Sections

The Client Profile is the hub of all things in your business, centred around your client. The Client Profile is broken down into tabs and sections for ease of use. Specifically each client is broken down into the following tabs:

History | Family | Properties | Deals | Tasks | Notes | Files | HomeHub360


Important Client Dates & Opportunities

A good CRM is one that makes sure you never miss any important dates. This is why we have brought your important dates right to the top! Watch the quick video below.

Just like that, you can add a Follow-up reminder to your contact. What is this? It simply means that you set the interval and we will tell you when it’s time to reach out to this contact. This way you will always be sure to never miss that next transaction because you are constantly in touch.

The second part of this video shows just how easy it is to add an Opportunity.

Select: BUYER | SELLER | OTHER/REFERRAL

Then: What stage of the buying/selling process: Lead | Prospect | Active | Conditional | Firm

Client Details & Groups

Basic Info Section

The Client Details Tab is for all things basic. Name, Phone, Email, Address. You can also add their profile photo here. Try it, just click on the image!

More Info Section

Acquired from - This is a place for you to put where this client came from:

Manual = You added them

Lead = They were an online lead

Advertising = You got this contact from your advertising

Relatives = This contact is a friend of family member

Referral = This contact was referred to you

Company - It can be nice to know where your contact works

Wedding Anniversary - While not a traditional important date in real estate, imagine how good you will look if you reach out to say congratulations on their wedding anniversary!

Other Email - Once you add your initial email at the top, you can now add unlimited secondary emails down below. Just in case you like to keep track of all the details!

Other Phone - Same as above with Email, once you add your initial email at the top, you can now add unlimited secondary emails down below. Just in case you like to keep track of all the details!

Groups

Client Groups or Labels can be an incredibly important tool for you when trying to keep track of all your business. Add unlimited groups to your contacts and customize them anyway you see fit.

Contact History Feed

In RealOffice360, any change you make on your Contact we will track it for you in the History feed. This way you will always know the last time you did anything in RealOffice360 for that Contact.

Contact Family

Your contacts are just isolated people. They have families and those families are important. This is why we built out the Family tab where you can add all their loved ones from Grandma and Grandpa, to the family pet. Watch the video below!

Family Member Birthdays

When you add a family member to your primary contact, you can also set up their birthday to be displayed on the Calendar, Relationship Tracker, and Daily Planner.

Contact Properties

Working in real estate your contacts are you asset. Their properties are your point of value creation. This is why you can add their properties to your Contact which has added benefits down the road!

Client Deals

It can be hard work to keep track of past deals with your Contacts. This is why any opportunity you track in RealOffice360 will be saved as a deal. Whether you close the deal or it is withdrawn. We’ve got you covered!

Client Tasks

You can add tasks in many places throughout RealOffice360® one of which is the Contact Profile. You might notice that some tasks are already in there, waiting for you.

We automatically tell you about Birthdays, Home Anniversaries and Follow-up dates. You add the rest!


Client Notes

Keeping good notes is essential to building the value of your database. Directly from your Contact Profile, simply add notes and let us do the rest. You can search these notes and always know when you wrote them with the timestamp.

Client Files

Being able to keep organized with your business is essential. Directly from the Contact Profile you can upload documents that you need to keep safe and organized for future use. Once you have uploaded the file you can download it, or share it with your client via their Client Portal!
